Story of Us

David Pegler established a small boutique company, Dependable Strata after owning and selling a medium-sized Strata Company, managing 570 buildings that serviced customers for over 35 years. Tetsuo after experiencing poor customer service from his own strata manager later joined David being convinced to be at the forefront of offering professional services at a reasonable cost that larger firms cannot provide.

We aim for long term working relationship through being transparent in our dealings with you and remaining small means more attention and time because we actually care about you and your building.

How do you provide financial details?

We provide regular financial reportsas desired on a monthly, quarterly, or half yearly basis. We can customize this based on your needs. Each owner can also access Financial Statements 24/7 on the web portal. Strata Committees has higher access levels to financial documents on the web portal.

We provide online access to Strata Vault where you can access all documentations related to yourbuilding - such as invoices, reportsand bank statements and etc.

What are disbursements?

Disbursements are the costs of carrying out the corporations business, these include items such as:
- Photocopying
- Paper
- Printing
- Copying
- Envelopes
- Postage
- Purchase and creation of files
- Local Document Storage
- IT and software costs

Many of the items covered by disbursements are not seen by unit owners as they involve sending remittance notices to contractors or work behind the scenes such as file creation and document storage inline with legal requirements and time frames.

What costs extra?

- Involvement in tribunal and court proceedings (hourly charge)
- Project managing defect andother major building repair work (hourly charge)
- Providing customized Financial reporting on regular basis
- Postage –Email communication will prevent postage costs (no additional cost if it is included in disbursements)

Is there a startup cost for initiating an agreement with you?

No. It takes time to take over buildings from another agency - data entry, transferring finance and accounting details, checking various compliance status, and etc. However, we do not charge any fee as a gesture of goodwill.

How does the banking work?

We use Macquarie Bank for Trust Account for each Strata Plan. We ensure the account is reconciled each month and each transaction accounted for. Any owner is able to review the Financial Statements through our web portal.

How does insurance work?

As part of the new legislation, 3 insurance quotes are required. This will be passed onto the Committee for review prior to renewal. Any incidents that are claimable will be passed onto the insurer for review. Committee may wish to review these claims.

What is the process for repairs and maintenance?

- Any lot owner or resident can contact us after hours for an emergency.
- Once contacted for repairs or maintenance, we will first determine whether it is the owner’s responsibility or the Owners Corporation’s responsibility.
- If the repair is urgent due to health or safety reasons, we will issue a work order immediately.
- If it is not deemed urgent and the cost is above the authority, we will obtain authorization from the Committee for quotes and let the Strata Committee decide. We will allow 48 hours for a decision to be made.
- Scheduled maintenance work may be carried out for certain items (e.g., fire monitoring, pest control, lawn, and cleaning services).
- For major repairs, the decision to carry them out will require a special resolution, and a special levy may be raised. Quotes will be required before any work can be carried out.
- If the building manager is present, we will liaise with the building manager for repairs and maintenance.

What meetings are required and attended by your strata manager?

Preparation and attendance of the Annual General Meeting and subsequent Strata Committee meetings are included in your quote. Additional General Meetings or Strata Committee meetings will incur an additional cost.

Do you have preferred contractors?

We have a number of trustworthy professional contractors we use.

We use them not because we receive a commission, but because they provide quality service at a reasonable cost. However, if you would like to use someone else, we are happy to engage your preferred contractors. Please ensure that they are licensed and have public liability and professional indemnity insurance.

We do not receive any commissions from our contractors.

Tell me about levies

- Levies are based on the budget for repairs and maintenance of your building. This includes insurance for the building, cleaning, gardening, lift maintenance, water, electricity, and other building works.
- We issue quarterly levy notices 4-6 weeks in advance for the next quarter. This is included in the standard management fee.
- Payments can be made via BPay, at the Australian Post Office (card payments), or via credit card through the DEFT system online (surcharge may apply).
- We aim to avoid charging interest for 30 days after the due date and are quite lenient towards genuine late payments. However, if no effort of payment is made, we will take appropriate measures for debt recovery to ensure the Owners Corporation's finances remain healthy.
